Starting a Toolbox Talk
Starting a toolbox talk will take you through the following sequence of pages:
- Roll calls
- General site hazards
- Site Observations in a Toolbox Talk
- Incident reporting in a Toolbox Talk
- Tasks for today
- Other business discussed in a Toolbox Talk
1. ‘Roll Call’
- Project - Select from list. By default the current project is selected.
- A list of the people currently signed in to the site is displayed - record who’s at the meeting by selecting the checkbox next to their name. If someone at the meeting doesn’t appear on the list, remind them they need to sign in!
- The ‘add photo’ button can be used to capture a group picture as a record of who’s present
- As with most of the toolbox meeting screens, the ‘comments’ box can be used for any extra information you want to record (e.g. who’s missing and why)
2. General site hazards
This page shows the list of hazards currently on the site Hazard Board - each one can be expanded to show the controls which should be in place. For each hazard, select the check box to record if it was discussed.
An optional box has been provided for any comments regarding hazards.
3. Site observations
This page lists site observations made in the last 7 days that have not yet been closed:
- Use the checkboxes to record observations that are discussed during the meeting
- Tapping on an observation will show the corrective actions that should be in place, and a “Review Observation” button. Clicking this will take you to the full details of the observation, for review, editing, or closeout.
- Below the list of observations is a button marked “Add observation” to create a new observation during the meeting. The process of creating this observation is outlined in the Site Observations portion of the manual.
- An optional box has been provided for any comments regarding site observations.
4. Incident Reports
This page lists incident reports made in the last 7 days that have not yet been closed:
- Use the checkboxes to record incidents that are discussed during the meeting
- Tapping on an incident will show the corrective actions that should be in place, and a “Review Incident” button. Clicking this will take you to the full details of the incident, for review, editing, or closeout.
- To record an incident during the meeting, tap the “Add Incident” button below the list of items. This will open the Incident Report page to create a new report. This process is outlined in the Incident Report portion of the manual.
- An optional box has been provided for any comments regarding incident reports.
5. Tasks for Today
This page lists active Task Analyses for the site that have a start date less than 7 days ago.
- For each task analysis that relates to work taking place today (or before the next toolbox meeting), tap “Review TA” to display the TA details for discussion.
- Note that you can’t just select the checkbox without reviewing the TA - this is intentional. It is important that you communicate the full details of the task analysis with your team so that everyone is aware of what they need to do to work safely. This is also a good time to have your workers ‘sign on’ to the task analysis to confirm that they understand its requirements.
- If there are jobs planned for the day that you don’t yet have a task analysis for, you can create one during the meeting using the “Create Task Analysis” button. This will begin the process for creating a task analysis as outlined in the ‘creating a Task Analysis’ section of the manual.
- An optional box has been provided for any comments regarding TAs.
6. Other business
Use this page to record anything else discussed during the meeting:
- Tap the “Add Item” button and enter any relevant details or photos. Items can be removed by swiping left on the item and tapping the red “DELETE” button.
- When the meeting is concluded, tap the “Close Meeting” button at the bottom of the page.
