Below you will find a step-by-step guide to creating a Client profile and a breakdown of the different access permissions available. With this, you can give your client access to view particular details of their Project.
Creating a Client
- Click the person icon in the top right corner and select 'Settings' from the drop-down menu.
- On the navigation panel on the left side of the screen, select the 'People' tab. In the tab that opens, select 'Clients' from the menu.
- Select '+ Add' to add a new client.
- Populate with your Clients details:
- First Name
- Last Name
- Email address
- Phone number (optional)
- When you have added the details, click 'Create Client'.
Your Client will receive an email notifying them you are inviting them to join Builda Price. This email will contain a link to create a Password and Login.
Assigning Client to a Project
Permissions are no longer assigned broadly to each client. Instead, they are assigned to each client per project, so that different permissions can be assigned depending on the specific project. Therefore, to grant permissions, you must first assign them to a project.
- After creating the client, on the same menu below their details, select 'Go to projects'.
- This will bring you to the 'Projects' window. From there, select one of the relevant projects, then on the taskbar on the left select 'People' from the 'Configuration' header.
- In the 'People' window, select 'Clients' from the box.
- Click '+ Add'. This will open a menu where you can search for a client, select a client from the drop-down window, or click 'Add them to the company' to return to the client creation menu. Once you have selected your client, click 'Add' to add them, then you can start allocating permissions to the client for the selected project.
Selecting and allocating Client Permissions
There are number of different Permissions you can allocate to your Client:
- Select what Projects are available to your Client.
- Select what types of Task your Client can view.
- Select what reporting will be available to your Client.
- Select if the Gantt Chart for selected Projects will be available to view.
Task visibility
This is the type of Task your client will be able to view on selected Projects.
There are seven different types of Task:
General
- Default Task Type. Manually created tasks will have a Task Type of General until an alternate Task Type has been assigned
- Tasks completed by your team
- Task completed by Subcontractors
- Tasks that relate to items you own and hire out to the Client e.g. Mobile scaffolding, Bobcat, Kango.
- Tasks that relate to any Sums
- Internal Tasks e.g. Administration or Mileage
- Task milestones e.g. Build section completed
From the drop down box under Task Visibility select the Task Types you want your Client to view. You can select multiple Task types for your Client.
Reports Visibility
You can select what Reports are visible to your Client.
Scheduling
Allow your Client to view the Gantt Chart of their allocated Projects.
Once you have allocated your Client all the applicable permissions, click 'Save permissions'.
