To speed up the allocation process and reduce the need to double handle invoices in Xero it is possible to set up a default Xero account for each Project, and for each Task or Subtask.
Setting Default Xero Accounts
- In your newly created Project navigate to Project Settings
- In your Project Settings you will see the Xero account option
- By selecting the dropdown box you will be able to allocate the applicable Xero account code to this Project
- All Tasks generated or manually created will inherit this Xero account code
Overwriting your Xero account code on a Task level
- The Xero account code can be overwritten on a task if a different Xero account code is required
- Select your Task and navigate to your Task Settings
- Select the dropdown box under the Xero account
- Select and apply the applicable Xero account code for this task
- All subtasks of the parent task will inherit the new Xero account code applied
Overwriting your Xero account code at allocation
- When allocating bills to your Project, they will inherit the Project level Xero account code. However, if you are allocating down to a Task that has a different Xero account code, this will be inherited.
- You can overwrite these Xero account codes at the allocation stage
- when allocating, select Overwrite Account
- By selecting Override account a dropdown box will appear with your Xero account codes. Select the applicable Xero account code for this allocation.
